Privacy Policy

1. Who we are

Kidroids Academi ("Kidroids", "we", "us") runs robotics, coding and hands-on technology programmes for students aged 5 to 19 in Vadodara, Gujarat.

This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website, our social media pages, our enquiry forms, and the messages we send you.

We are the Data Fiduciary for the information described here, as that term is used in India's Digital Personal Data Protection Act, 2023.

2. Whose information we collect

We collect information about two groups of people:

  • Parents and guardians — the adult who enquires about, enrols in, or pays for a programme.

  • Students — the child or young person who attends the programme.

We do not collect information directly from children. All information about a student is given to us by their parent or guardian, who provides consent on the child's behalf. If a child under 18 contacts us directly, we will ask to speak with their parent or guardian before going any further.

3. What we collect

From parents and guardians

  • Name

  • Mobile number, including WhatsApp number

  • Email address

  • Home or locality address, only where required for enrolment or delivery

  • Payment reference details for fees paid

About students

  • First name

  • Age or age band

  • School and grade, where you choose to tell us

  • Programme and batch enrolled in

  • Attendance, project work and progress notes created during the course

  • Photographs or video of classroom and project work, only where you have given separate written permission

Automatically, when you visit our website

  • Browser and device type, approximate location by city, and pages visited

  • Cookies and similar technologies used by our website platform to keep the site working and to measure traffic

We do not collect Aadhaar numbers, biometric data, caste, religion, health records, or any government identification numbers.

4. Where your information comes from

  • Enquiry and contact forms on our website

  • Instant Forms attached to our advertisements on Facebook and Instagram

  • Messages you send us on WhatsApp, Instagram or email

  • Telephone calls and walk-in visits to our centre

  • Referrals, where an existing parent gives us your contact details with your knowledge

  • Schools and institutions we partner with, under our agreement with that school

5. Why we use it

To reply to your enquiry and arrange a demo class. Because you asked us to.

To enrol a student, allocate a batch and run the course. To deliver the service you signed up for.

To remind you about scheduled demos and classes. To deliver the service you signed up for.

To take fee payments and issue receipts. To deliver the service, and to meet tax and accounting law.

To report on a student's progress to their parent. To deliver the service you signed up for.

To keep children safe at our centre. For the welfare of the child.

To send you offers, new-batch announcements and news. With your consent, which you can withdraw at any time.

6. Messages we send you

If you enquire with us, we will contact you about that enquiry — that is the whole point of you getting in touch.

Promotional messages are separate. We will only send you offers, discounts and announcements by WhatsApp, SMS or email if you have agreed to receive them.

You can stop promotional messages at any time by:

  • replying STOP to any WhatsApp or SMS message from us, or

  • clicking the unsubscribe link in any email, or

  • writing to kidroidsacademi@gmail.com, or

  • telling any member of our team

We will action it within seven working days. You will still receive messages about a class your child is actually enrolled in — reminders, schedule changes and safety notices — because those are part of the service.

We never send marketing messages to a student. All communication goes to the parent or guardian.

7. Advertising

We advertise on Facebook and Instagram. Our advertisements are directed at adults. We do not target advertising at children, and we do not use any child's information for advertising, profiling or behavioural tracking.

When you fill in an enquiry form inside Facebook or Instagram, Meta collects your response and passes it to us. Meta's own handling of that information is governed by Meta's privacy policy, not ours.

8. Who we share it with

We share personal information only with:

  • Service providers who help us operate — our website platform, messaging and email providers, and payment gateway. They may only use the information to provide that service to us.

  • Schools we run programmes with, limited to the students enrolled in that programme.

  • Government or law-enforcement authorities, where we are legally required to provide it.

We do not sell your personal information. We do not share it with anyone for their own marketing.

Some of our providers store data on servers outside India. Where that happens, we take reasonable steps to ensure the information stays protected to the same standard.

9. How long we keep it

  • Enquiries that do not convert — up to 24 months from your last contact with us, then deleted

  • Enrolled students — for the duration of enrolment, and up to three years afterwards so we can issue certificates and re-enrolment offers

  • Financial records — eight years, as required under Indian tax law

  • Photographs and video — until you withdraw permission, or three years, whichever is sooner

When a retention period ends, we delete the information or anonymise it so it can no longer identify anyone.

10. Keeping it safe

We restrict access to enquiry and student records to staff who need it for their work. Accounts are password-protected, devices are secured, and staff are instructed never to share parent or student details outside Kidroids.

No system is perfectly secure. If a breach occurs that affects your information, we will inform you and the Data Protection Board of India as required by law.

11. Your rights

You may ask us to:

  • Show you what information we hold about you or your child

  • Correct anything that is wrong or out of date

  • Delete your information, where we are not required by law to keep it

  • Stop sending you promotional messages

  • Withdraw consent you previously gave, including permission to use photographs

  • Nominate another person to exercise these rights on your behalf

Write to kidroidsacademi@gmail.com with the subject line "Privacy request". We will respond within 30 days. There is no charge.

13. Changes to this policy

If we change this policy we will update the date at the top of this page. If the change is significant, we will tell you by email or WhatsApp before it takes effect.
